Chocolate box fundraisers using Kindo Payables

Chocolate box fundraisers are popular at many schools, but they can be time consuming to organise and administer. Using Kindo can help to streamline this process for your school, by reducing or even eliminating paper forms, cash handling, counting and trips to the bank.

There are some setup suggestions below. Further variations are possible to best suit your school.

Follow the steps below.

1. On the Item Editor page, create a chocolate box payable item with an appropriate GL code and price:

     

Remember to consider the Kindo Fee when you set the price for the Payable item.
     
2. On the Payable Apply page, apply the chocolate box item to every student participating in the fundraiser.
          This might be a particular year level, or a  Kindo  Group that you create.
           (It could be that the boxes are not handed out to families until the payment is received.)

3. On the Item Editor page, create a camp payable item with an appropriate GL code and price.

4. On the Payable Apply page, apply the payable to all students going to camp:

     
Remember you can also create an online form, by adding your camp questions e.g. permission, medical, dietary, volunteers.

      Families will be able to see the total amount of the camp payable outstanding when they login to their myKindo account.
      - Those that don't want to participate in chocolate fundraising can then begin making payments for camp.
      - Those that participate in chocolate fundraising will be able to make a part-payment using the funds they receive from selling their box/es.

5. Payment progress can be tracked using the Payable Status page, and Payment Request email reminders can be sent as needed.

6. If a student wishes to sell another box, you can apply the payable again individually. 
    Remember, you will need to increase the Max per student for the payable item using Edit payable on the Payable Apply page.
One suggestion is to list Additional chocolate fundraising pack request as a Kindo Shop item at $0 cost, for families to request any extra boxes easily.
These additional orders could be viewed using the Order Status page, so you know which students to apply the payable to again.
