Setting special closure dates

Access: Service Administrators

Special closure dates should be used for days when your organisation will be closed, e.g. Teacher Only Days and Public Holidays.

It is critical to add Special Closure Dates to your Food Services, as you do not want to take food orders for days when your school is closed. 

Add all public holidays, Teacher Only Days etc at the beginning of the term to avoid having to do refunds later. It is NOT necessary to add these dates for general items like uniforms or sports.
NOTE: If closure dates are added AFTER the service begins, you must check for orders that have already been placed for that day and cancel those orders. Cancel an order for a selected date

1. On the partner site, select service manager and then scroll down to the service you wish to set dates for.

2. Click on the service and it will bring up all the details. Scroll down to special closure dates.

     

3. Add your special closure dates in one of three ways:

1) ADD MANUALLY

  • Select Add One to manually add your date(s).
  • A pop-up box will appear.

  • Add the date and the reason for the closure in the pop-up box. Select Done.
  • Save Draft to save your changes or Save & Publish to make the changes visible on your Shop site. On your shop site it will now show dates without 2 April (Good Friday).

 


2) ADD A PATTERN

  • Select Add Pattern if your Service is closed on a regular basis, e.g. your Sausage Sizzle is fortnightly, or your Book Fair is monthly.
  • Enter your closure pattern into the pop-up. 
  • E.g. Make this service available every 2 weeks starting week 1 of each window.
  • In this example, our Sausage Sizzle is only going to operate every 2nd week, and we want it to start from the 1st week of school. Click apply. 

  • Your Special Closure Dates will be automatically populated, without you having to manually work out or enter them.





  • Save Draft to save your changes or Save & Publish to make the changes visible on your Shop site. On your Shop site users will now only see the fortnightly dates available for this window.



3) COPY FROM SERVICE

  • Select Copy from Service if you have already entered all of the correct dates into another service that you operate.
  • This will bring up a pop-up of all the Special Closure dates you have already entered for other services. Tick to select the ones you'd like to copy. Then select Done.

  • The Sausage Sizzle now has the correct Special Closure dates inserted. Save Draft to save your changes or Save & Publish to make the changes visible on your Shop site.

     

4. To delete a closure date, untick the green tick box and that date will disappear. To delete all of the closure dates select Remove All.            
      

5. Always remember to either Save Draft or Save & Publish once you are finished.
