Creating a New Payable

Creating a New Payable

When creating a new payable in Kindo, you'll need to complete several important sections to ensure proper setup. This guide walks you through each section.

General

  1. Payable Name (Required):

    • The system will automatically combine the "Year" and "Label" to form the payable name that is displayed to caregivers
    • For example: Year "2024" + Label "Swimming Trip" = "2024 Swimming Trip"
    • A preview of the name is displayed under the textbox
  2. Payable Category:

    • The dropdown menu will allow you to choose an existing category or you can start typing to create a new category
    • Categories are used for organizing your Payables and determining which staff members can view them
  3. Description:

    • Use this field to provide more information about the payable
    • The text editor offers several formatting options, including bullet points, numbered lists, bold and italic text, and hyperlinks.

Accounting

  1. GL Code (Required):

    • Enter your General Ledger code (e.g., SPO124, DON001)
    • Only visible in reports, not to caregivers
  2. Additional Detail:

    • This can include notes about the Payable's purpose or any specific instructions relevant to financial tracking.
    • For example: "Term 1 Netball registrations - GST included."
    • Only visible in reports, not to caregivers

Tax & Price

  1. Total price (Required):

    • Enter the total price for the Payable item
    • This is the amount caregivers will be charged
  2. Tax:

    • This field allows you to choose how GST is applied to the item
    • Choose Includes GST (15%) for most Payable items such as sports fees, uniforms and stationery etc.
    • Choose Tax exempt when creating items such as donations and other non-taxable items

Receipts

  1. Include Donation Receipt:

    • Checkbox option for donation receipts
    • When checked, caregivers automatically receive donation receipt with payment confirmation email
    • No need to issue receipts manually
  2. Receipt Note:

    • Add a note that will appear on the caregiver's receipt
    • For example "Thank you for your donation to our school"

Caregiver Payment

  1. Payment is Voluntary (Coming soon):

    • Optional checkbox for voluntary payments
    • We'll provide more details on this closer to launch
    • You can check this now to prepare for the upcoming features
