This article will show you
how the ‘Reporting – view only’ option will look and the process for setting
this up. This is for Heads of
Department, Teachers, or any other staff that need to be able to access
information that show who has/hasn’t paid for items that relate to them.
Any staff that are assigned ‘view only’ rights will be
able to access information, to see who has paid in full, part paid or not paid
at all, for any items that sit under the particular payable category assigned.
They will only be able to view this information on the
screen, or export as an excel or CSV file.
They will NOT be able to edit any of this information
on Payables.
When a staff member who only has ‘viewing’ rights, logs
on to Kindo, their home page will look like this:
They will not be able to access the Admin option or
any other payable pages.

NOTE: If the
staff member cannot see this home page (above) using the unique link emailed to main staff contact, they will need to contact the
helpdesk for further support.
Creating/Editing your Payable categories
You will need to ensure that you have Payable
categories created, and the payable items assigned to your categories as the
Payable category determines what the ‘view only’ staff are seeing. This is done by admins who have access to the Kindo
Payables Admin pages.
Small-Medium sized school
example: You
might have a sports coordinator who needs to access all sports costs. You
create a Kindo Payable category ‘Sports’ and all payable items that relate to
Sports (sports team fees, tournaments etc), are added to this category.
The Sports coordinator can then view any of
the payable items under the sports category, to see who has paid in full, part
paid or not paid.
Large school example: You might have one staff
member who oversees all of sports, as well as individual staff who look after
certain sporting codes.
You could then create a Payable category for each
sporting code (Netball, Rugby etc). The staff member who looks after rugby will then only
have access to any payable items under the rugby category.
The staff member who oversees all sports, would have
access to rugby, netball etc. and be able to see all the payable items under all
the categories.
Our Kindo team will set up staff member(s) to have the
‘view only’ functionality.
You will just need to send the following information

We need this information for every staff member you would like to have access.
Please allow two
working days for the set up to be completed.
You will receive email instructions and further information to
assist with the setting up of view only reporting.

This email will also include a unique link your staff will need to bookmark to access the View Only Access.
Outstanding Payables (Advanced) Page - View Only Access
This page allows administrators to check the status of payables with various viewing and sorting options to effectively manage payment information.
Accessing and Selecting Items
- Login to the unique link that has been emailed to you.
- Use the Selected dropdown to choose which payable items to view:
- Choose All to display every payable item
- Choose Selected to specify individual items:
- Select a single item by clicking on it
- Select multiple consecutive items by clicking the first item, holding Shift, and clicking the last item
- Select multiple non-consecutive items by holding Ctrl (Windows) or Command (Mac) while clicking each desired item
- Select your preferred payment status filters by checking any combination of:
- Paid - Fully paid items
- Part Paid - Partially paid items
- Unpaid - Items with no payments made
Viewing and Sorting Options
- Sort by: Choose any column to sort your data:
- Student ID
- Room
- First Name
- Last Name
- Item
- Charged Amount
- Unpaid Amount
- Ledger Code
- Most recent payment
- Sort Direction: Check the Sort Descending box to reverse the sort order (Z-A or highest-lowest). Leave it unchecked for ascending order (A-Z or lowest-highest).
- Output Format: Select how you would like to view the information:
- On-screen – Displays results directly on the page with sortable columns
- Excel. One worksheet per room – Creates an Excel file with separate tabs for each room
- Excel. One worksheet per ledger code – Creates an Excel file with separate tabs for each ledger code
- All in one CSV worksheet – Creates a single CSV file with all data
- Click Run Report to generate the results. Note that the report may take up to 10 seconds to run.
New Features
The Outstanding Payables (advanced) page now includes these helpful enhancements:
- Student ID Column - Displays each student's ID, making it easier to match records with other school systems.
- Most Recent Payment Date - Shows when the last payment was recorded for each item.
- Enhanced Sorting - Sort by any column in either ascending or descending order by selecting from the dropdown menu and using the Sort Descending checkbox.
Common Use Cases
- Sports Team Management: A netball coach sorts by "Item" to find "2025 Netball Zone day" participants, then sorts by "Unpaid" status to quickly identify which team members still need to make payments before the tournament.
- Camp Preparation: A Year 9 Camp coordinator sorts by "Last Name" to alphabetically print a checklist of all students attending.
- Trip Budget Tracking: A Head of Department checks the "2025 Maritime Museum Trip" item and sorts by "Last payment date" to identify which students have paid since they last checked.
- Group Equipment Orders: The Performing Arts teacher sorts by "Student ID" for all "2025 Choir trip term 1" participants to quickly copy the IDs into their system and order correctly sized uniforms for each student based on their school records.
