Overview of Roles & Kindo Payables

ORGANISATION AND SUPPLIERS

When you first register your school, you are setting your school up as the Organisation. 

  • Every organisation has Suppliers, which provide items to the organisation.
  • Suppliers can be internal (e.g. your school office), or external (e.g. Pita Pit).

ADMINISTRATOR ROLES

There are three main administration roles within Kindo. One person may do all three roles, or each role may have a different person assigned to it. Most schools start off by giving one or two people all three administrative roles, then add others as they feel more confident using the system.

OTHER ROLES

In addition, two other roles can be assigned to Kindo Shop.

1. Manager Role: this role is not necessary, however if this role is assigned the Manager has access to the Kindo Customer page where they can cancel and refund orders. The Manager must be both a Service Administrator AND Order Administrator. They will only have access to cancel or refund transactions for the supplier(s) for which they are the Order Administrator.

2. Accounts Contact: this person receives the invoices and copies of sales & finance reports each week.

PAYABLE ROLES

There is also a Payables Administrator role.  The Payable administrator has access to the Payable pages on the Shop site.  They are the ones who will apply payables to students, send email reminders, receipt other payment methods, and access the reporting options within Payables.

WEBSITES

Kindo has both a Partner website and a Shop website. This enables Administrators to edit items, categories and services (on the Partner site), without it affecting the shop site until you are ready to publish.

  • The partner site is where the organisations set up the home page of their Kindo Shop website, and suppliers (both internal and external) set up their categories and items to be purchased. Work done on this site is not visible on the shop site until you Save & Publish your changes.
  • The shop site is where families and students go to purchase items and suppliers go to check for orders. Items are only visible on the shop site once they have been published from the partner site.

HOW IT ALL TIES TOGETHER

Sharon is the office manager at XYZ School and will be overseeing Kindo.

  • As Service Administrator she is responsible for deciding which services will show on the School Shop, setting up icons and selecting which categories sit under which service on the school shop home page.
  • As both Menu Administrator and Order Administrator for the School Office she will create categories and menu items for the school office as well as checking the orders coming through.
  • She is also a Menu Administrator for School Sports, so will be able to create categories and menu items for sports.

Jess is the Sports Coordinator at XYZ School.

  • School Sports has been set up as a separate supplier to the school shop, and Jess has been asked to manage this.
  • As both Menu Administrator and Order Administrator Jess will create categories and menu items for sports, as well as checking on registrations and orders as they come in.
  • Jess can only see Sports related listings and orders when she logs onto Kindo.

Elizabeth works for Stationery Shop as part of the sales team.

  • As Menu Administrator, Elizabeth uses the Kindo Partner website to create categories and items to be sold on XYZ School Shop site.
  • She can only view & create Stationery Shop listings.

John works for Stationery Shop in the Warehouse.

  • As Order Administrator, John can only log on to the Kindo Shop website, where he can download orders to fulfill.
  • He can only view Stationery Shop orders.

Tori works for ABC Cafe.

  • As Menu Administrator, Tori works with ezlunch to decide on categories and menu items to be sold on XYZ School Shop site. She uses the Kindo Partner website to set up the food and drink items to be sold.

Maree is head chef for ABC Cafe

  • As Order Administrator, Maree logs on to the Kindo Shop website every school lunch day, she downloads orders to fulfill, prints the labels and ensures all the lunch orders get to the school on time.
