Access: Payables Administrator
This article outlines processes for when people other than
primary caregivers wish to pay for school items on behalf of a student. For
example, an extended family member (e.g. a
grandparent) or outside organisation.
Please note: Kindo have an existing relationship with Oranga Tamariki and Variety organisations. Please refer to the following

Kindo Payable item/s
Below are some options on processing Payable payments from extended family:
Option 1:
If agreed between the primary caregivers who hold a myKindo
account and the payer, a payment for a non-donation item only can be
processed using the caregiver email on the POS page. The confirmation email
will go to the caregiver who can forward to the payer as proof of payment.
Option 2:
If an extended family member regularly makes payments for a
student, you can add them as a caregiver in your school’s SMS (if this fits
with your school policy) and encourage them to create a myKindo account. They
can then process payments independently via their myKindo account.
If they do not wish to create their own myKindo account, once
the individual has been added to the school’s SMS and the roll has updated, you
can use the individual's email
address to create a School Managed Account and process payments from the POS page.
Option 3:
If none of the above
options are appropriate you can process non-donation payments from the POS page,
using Link Student to Me. You can then forward on the confirmation email
to the payer as a receipt or proof of payment.
If the
payer requires a donation receipt, these payments will need to be processed
outside of Kindo and a donation receipt provided by the school to align with
AML restrictions and ensure a smooth audit for your school.
Shop item/s
Encourage the extended family member to create their own (unlinked)
myKindo account to purchase Shop items independently.
If there are certain non-donation Shop items that you know
will be regularly paid by extended family, you could add your items
to your Community Shop to allow purchases without the need for account creation following the below steps:
Create your shop category and item in item
editor
Add a question to the item so you know the name of
the student the payment is being paid for
When
creating your service in Service Manager, select show in community shop
This allows members of the community or extended family
members to independently purchase shop items on behalf of a student.
For payments being received by outside community organisations or
charities on behalf of a student, please refer to:
