Review and Contact - Responses

This report provides caregiver responses to questions that have been attached to payment requests, making it easy to check permission, gather trip information, and review special requirements.

Running the report

1. Select the Reporting tab from the main Payables Admin page.

2. In the Reporting menu, under Operations, select Review and contact - Responses.


3. Use filters to set the report criteria:

  1. Payment request item - select the relevant payment request item
  2. Payment status  - filter by All, Paid, Partially Paid, Partially Paid and Unpaid, or Unpaid.
  3. Year level/ Student group / Room - select All or choose a specific year level, group or room.
  4. Search - look up by student name (first or last), ID, or caregiver name.

4. Click Search to display results.

5. The results displayed will be as follows:
  1. First name/ Last name - student details.
  2. Completion Status - Completed, Not started or Exempt.
  3. Question ID - each question ID attached to the payment request displays as it's own column. Caregiver responses to questions appear below.
Additional options:
  1. Click View Question to see the full wording of the question as it appeared to caregivers, along with the response type (e.g. Yes/No, text, date).
  2. Question columns can be sorted by clicking the column header to bring similar responses together, such as grouping all "Yes" answers at the top.









6. Click Export to download all responses in the report. 

Example uses

  1. Identify students with medical or dietary needs, such as allergies.
  2. Group volunteer responses to see who has offered to help.
  3. Review transport arrangements or other event logistics.
