Applying credits to caregiver Kindo accounts using the POS page
Access: Kindo Payables Administrator
If a caregiver has a credit that needs to be applied to their Kindo account, you can add funds directly from the Point of Sale (POS) page. Common reasons include transferring existing credits from your SMS when moving to Kindo, or when a caregiver has paid more into the school bank account than required.
Instructions
- Go to the Point of Sale page from the Admin home page.
- Search for and select the student.
- Under Payer, select the caregiver's account. Look for the K icon next to their name — this confirms they have an active Kindo account and can receive a top-up.

- Select Top up in the right-hand panel.

- Enter the Amount.
- Select the Payment type - options include EFTPOS, Cash, Bank transfer, Credit card, and Alternative bank account.
- Set the Date funds received.
- Add any Notes if needed. Notes appear in internal reports only.
- Click Confirm top up.
If the caregiver doesn't have a K icon next to their name, they haven't yet created their Kindo account. You won't be able to top up their account until they've done so.
- Top-ups are recorded in your POS Reconciliation and POS History reports, and are included in your Kindo accounting reports.
- When topping up funds that a caregiver has paid into the school bank account, set the Date funds received to match when the payment was actually received. For SMS credit transfers, use a consistent date - for example, the date you're processing the transfer.
- Using Alternative bank account as the payment type for credit transfers will separate these credits out in your POS Reconciliation report - if this payment type isn't already in use at your school. Adding a consistent note (e.g. Credit transfer) makes it easier to identify these transactions later.
Xero users: Record top-up funds against your Kindo Clearing Account. These will be matched when you reconcile your Kindo invoice in Xero.
