Additional Payers in Point of Sale

The Add a payer option on the Point of sale page allows schools to add another person who would like to make payments toward a student’s payables.

This is commonly used when someone other than the caregiver — such as a grandparent or family friend — would like to help pay for a specific item.

Additional payers do not replace the caregiver account.

When to use an Additional Payer

Use this option when:
  1. Someone would like to contribute toward a specific student’s payable
  2. The payer is known to the school
  3. The payer is willing to provide an email address

This feature is not designed for anonymous donations or general fundraising contributions.

For general fundraising or broader support (for example, “pay it forward” contributions), a general shop item can be created instead.


Adding an Additional Payer


To add an Additional Payer:

1.  From the Point of sale page, use the Search for a student field to locate and select the student.



2. Select Add a payer.



      3. Enter the payer's email address


4. Follow the prompts on screen.

The system will check whether a Kindo account already exists for that email address. 

Depending on the result, you will either:
    1. Add the existing account as a payer, or
    2. Be prompted to complete a simple account setup. 
Once added, the payer will appear under the Payer section on the POS page and can be selected when receipting payments.

If the payer already has a Kindo account

If an existing Kindo account is found for the email address entered, the account will be added as a payer for the selected student.




Once added:
    1. The payer will appear under the Payer section on the Point of sale page



    2. You can select them when processing a payment
    3. They will receive receipts for payments they make
No further setup is required.



If the payer does not have a Kindo account

If no existing account is found for the email address entered, you will be prompted to complete a simple account setup.



Before continuing, you must:
  1. Read the required account information to the payer
  2. Confirm the payer agrees to account creation
  3. Verify the payer's photo ID

Once confirmed:
  1. A Kindo account will be created for the payer
  2. The payer will receive a welcome email and can access their account anytime by setting a password through that email
  3. They will receive receipts for payments they make
  4. Any refunds will be returned to the payer's Kindo account and they will be notified by email.

The payer will then appear under the Payer section and can be selected when processing a payment.


How payments appear

When an additional payer makes a payment:
  1. The payment is recorded against the student’s payable
  2. The payable balance updates as normal
  3. The payer's email address appears in POS reconciliation reporting
On the student statement:
  1. Outstanding payables are shown
  2. If a payable has been partially paid, the payment will be reflected against the remaining balance
  3. The name of the person who made the payment is not shown
This ensures payments are accurately recorded while maintaining appropriate visibility for caregivers.

Removing an Additional Payer

An Additional Payer can be removed at any time.

Removing a payer prevents them from being selected for future payments. Payments already made will remain recorded.

To remove an Additional Payer

1. From the Point of sale page, use the Search for a student field to locate and select the student.
2. Locate the payer under the Payer section.
3. Select the bin icon next to the payer.





4. Confirm the removal when prompted.



Previous transactions will continue to appear in POS reconciliation reporting.


Important notes
  1. Additional Payers must provide a valid email address.
  1. Additional Payers do not become caregivers and are not linked through your school management system.
  1. Additional Payers can only view and receive information about payments they make.
  2. For broader pay it forward contributions or general fundraising, create a shop item instead.
